Who we are

This website is operated by How Do You Tech LLC, a company registered in Delaware, United States, trading as HDY Haus Group. We are the data controller for the personal information described in this policy.

If you have a question about anything here, or you want to exercise any of the rights set out below, write to contact@hdyhaus.com. A person reads that address and you will get a reply.

What this policy covers

This policy covers hdyhaus.com and the services sold through it. It explains what we collect, why we hold it, who else sees it, how long we keep it and what you can ask us to do with it.

It does not cover other websites we link to. Once you follow a link away from this site, the policy of that site applies instead.

Information you give us

When you send an enquiry

Our enquiry and booking forms are built with Gravity Forms and the information you type into them is stored in this website’s own database. Depending on the form, that includes your name, your email address, your organisation, and whatever you write in the message field.

Please do not put confidential details about your members, customers or staff into an enquiry form. If we need that material to quote for a piece of work, we will agree how to share it securely first.

When you buy something

Purchases run through WooCommerce. To process an order we collect your name, billing address, email address and telephone number if you provide one, together with a record of what you bought and when.

We do not see or store your card number. Card details are entered on the payment provider’s own systems, never on ours.

• Payments at the shop checkout are handled by POK, operated by RPay.
• Payments taken through a form are handled by Stripe.

Each of those providers is a separate data controller for the payment itself and holds your card information under its own privacy policy.

When we work together

During an audit, sprint or workshop we will hold the material you send us for the work, which may include your help articles, member communications, feedback records or access to a community platform. We hold that material to do the work you have asked for and for no other purpose. We do not use it to train any automated system and we do not share it with anyone else.

When you join our email list

If you sign up for our emails, your name and email address are held by Kit, the service we use to send them. Kit records whether an email was opened and whether a link in it was followed, which tells us which subjects are worth writing about again. We only send what you asked for, every email carries an unsubscribe link, and leaving takes one click. We do not sell or rent your address to anyone.

Information collected automatically

This site uses Google Analytics 4 and Google Tag Manager to understand which pages people read and how they arrive. That produces information about your device, your browser, your approximate location derived from your network address, and the pages you visit.

Analytics tracking is switched off for anyone signed in to this website, so our own activity is not counted.

Our host also keeps standard server logs, which record network addresses and requested pages. Those logs exist so the site can be kept running and secure.

Cookies

Cookies are small files a website stores in your browser. This site sets three kinds.

• Necessary. WooCommerce sets cookies so your basket survives moving between pages and so the checkout works. The site cannot function without these.
• Analytics. Google Analytics sets cookies to tell repeat visits apart from new ones.
• Account. If you sign in, WordPress sets cookies to keep you signed in.

You can delete cookies or refuse them in your browser settings. If you refuse the necessary ones, the basket and checkout will stop working.

Why we are allowed to hold your information

• To perform a contract. Order details and the material you send us during a piece of work are held so that we can deliver what you have paid for.
• Legitimate interests. Replying to an enquiry, keeping records of what was agreed, and understanding how the site is used so it can be improved.
• Legal obligation. Invoices and payment records are kept because tax law requires it.
• Consent. Analytics, and any marketing email, where you have agreed to it. You can withdraw consent at any time.

How long we keep it

• Enquiries that do not lead to work are deleted after twelve months.
• Client material sent to us for a piece of work is deleted twelve months after the work finishes, or sooner if you ask.
• Order and invoice records are kept for as long as tax law requires, and then deleted.
• Analytics data is kept for the retention period set in Google Analytics.

Who else sees your information

We do not sell your information and we do not share it for anyone else’s marketing. It is shared only with the suppliers who make this site and this business work.

• The company that hosts this website.
• POK and Stripe, to take payment.
• Google, for analytics and tag management.
• Kit, the service we use to send our emails, if you have joined our email list.
• Our accountant and, where the law requires it, a tax authority.

Information sent outside your country

We are based in the United States, and several of the suppliers listed above process information there too. If you live in the United Kingdom or the European Economic Area, that means your information travels outside your own country. Where that happens, the transfer is covered by the safeguards those suppliers put in place, such as the European Commission’s standard contractual clauses.

Your rights

You can ask us to do any of the following, and we will respond within one month.

• Tell you what information we hold about you, and give you a copy.
• Correct anything that is wrong.
• Delete what we hold, where we are not required to keep it.
• Stop using it for a particular purpose.
• Send you a copy in a portable format.
• Withdraw consent you gave earlier.

Write to contact@hdyhaus.com to make any of these requests. There is no charge. If you are not satisfied with how we handle it, you have the right to complain to the data protection authority where you live.

Children

This site is intended for people working in organisations. We do not knowingly collect information from children. If you believe a child has sent us personal information, write to contact@hdyhaus.com and we will delete it.

Changes to this policy

When this policy changes we update the date at the top of the page. If a change materially affects how we handle information you have already given us, we will tell you directly rather than rely on you noticing.
